Count your vets, then count them again for locums

Veterinary software does not price the way your accounting or scheduling tools do. Provet charges per active veterinarian and gives you unlimited free accounts for nurses, receptionists and administrators. So the headcount that drives your bill in a six-person clinic is two, not six. Before you compare anything, write down two numbers: how many vets hold a licence and consult under your roof, and how many of those work fewer than eleven days a month.

That second number matters because Provet publishes a reduced part-time rate for any vet logging in ten days or fewer in a month, and moves them to the full rate the moment they cross that line. If you run a Saturday locum and a part-time associate, your bill will move month to month. The page does not say what the reduced rate is, so ask for the figure before you model anything around it.

Ask what specifically sits behind the Pro wall before you pay the difference, because the pricing page lists the tiers but the feature detail behind "everything in Core, plus" wasn't spelled out in a way we could quote.

Decide on the AI scribe as a line item, not a feature

AI Scribe + Actions is $40 per vet per month, or £30. For your two vets that's $80 a month — $960 a year — on top of whichever tier you pick, and it costs the same on Core as on Pro. That is the single biggest swing in your total: $4,176 without it, $5,136 with it. Treat it as a separate buying decision with its own trial, because it is priced per vet and can be added later without changing your platform fee.

Provet Pay is listed at $0 with the note "share of revenue". That is not free; it means the cost lands in your card processing rather than your subscription. The percentage isn't on the page. Before you switch payments over, get the rate in writing and compare it against what your current processor charges on your actual monthly card volume — a point of difference on $60,000 a month is $600.

ezyVet: budget from $3,126 and expect to ask for the rest

The ezyVet pricing page publishes one figure: "get started for as little as $260.50 per month." At that rate the annual cost is $3,126. What it does not publish is what that buys — no tier names, no seat or vet counts, no statement of whether support staff are included, and no indication of what pushes you above the starting price. The page does say every customer gets access to all features and updates regardless of size, which suggests the variable is headcount rather than modules, but it stops short of saying so.

That means you cannot budget for ezyVet from public information the way you can for Provet. If you want it on your shortlist, you will have to talk to them, and the first question is whether the $260.50 applies to a two-vet, four-staff clinic or to a solo practitioner. Until you have that answer, the honest comparison is $4,176 of known Provet cost against an unknown.

Only buy Vetstoria if your practice system can't book

Vetstoria's Small Team plan covers up to two practising clinicians at £199 a month per location — £2,388 a year — for real-time online booking. That is a meaningful add-on: it would raise a UK Provet Core clinic from £2,376 to £4,764 a year, roughly doubling the software bill.

Before you spend it, check what you already have. Provet states that it includes a customisable online booking portal that plugs into your website, with control over which appointment types, slots and doctors are bookable. If that covers you, Vetstoria is a duplicate purchase. Where it earns its place is on a system with weak or no native booking, or where you want the website and booking bought together — Vetstoria sells website plans from £134 a month plus a £563 set-up fee, and offers 20% off the combined monthly subscription when you bundle booking with a website plan (the set-up fee is excluded from that discount).

Which one to pick

If your vets dictate notes after hours and you are losing evenings to records, add AI Scribe + Actions for both of them and budget $5,136 a year rather than $4,176. Buy it as a separate decision after go-live, not in the same signature — it is priced per vet and can be turned on later.

If one of your two vets works two days a week or you use a locum, get the part-time rate in writing before you sign, because Provet's own rule moves that person to the full rate in any month they log in eleven days or more. A busy December can quietly cost you the full $99.
