Per-seat pricing quietly punishes tiny teams. Two seats on a $20-per-member plan is $480 a year, and if you only record four meetings a month that's $10 a meeting. Here's how to find your break-even before you pay.

Two seats at $20 per member/month is $480 a year. Two seats at $10 is $240. Before you pick either, divide by the number of meetings you'll actually record: at eight a month, that's $5 and $2.50 per meeting. At two a month, it's $20 and $10. If you can't name the number, don't buy the seat yet.
Every per-seat tool bills a licence, not a person, and the licence keeps billing whether or not anyone opens it. Notion's page prices in "per member / month" and "per seat/month" interchangeably, so your bill is the number of members in the workspace multiplied by the tier price, every month, regardless of how many of them ever read a transcript. Write down two numbers before you look at any pricing page: how many people will be in the workspace, and how many of those will open a meeting note in the week after the meeting. If those numbers are 4 and 2, you are about to pay double what the tool is worth to you.

The arithmetic is the whole story: $10 × 2 members × 12 months = $240. $20 × 2 × 12 = $480. Five members on Business is $20 × 5 × 12 = $1,200. Those annual figures are our multiplication, not Notion's — the page publishes monthly per-member prices only. It also carries a monthly/yearly toggle and a "save up to 20% with yearly" line beside the same $10 and $20 figures, so you should assume the number you see may move by up to a fifth depending on which way the toggle is set when you check out. Enterprise is "Contact us", with no number attached.
For a two-person team it often is, at least for a quarter. Free is $0 per member/month and includes databases with subtasks, dependencies and custom properties — which is enough to hold a meetings table, one row per meeting, with owner, date and action items as properties. The real test isn't features, it's habit. Run eight weeks on $0, log every meeting by hand, and count how many notes you or your co-founder actually reopened afterwards. If the answer is one, a paid tier will not fix that; you'll just be paying $480 a year for the same neglected pages. If the answer is most of them, you now have a defensible number to divide into the seat price.
The step from Plus to Business is $10 per member per month — $240 a year for two people, $600 a year for five. Business is where Notion positions the AI workspace, advanced connections and Custom Agents. So the question to answer is narrow: over a year, will the AI features save your two-person team more than $240 of time? At a $50 hourly value that's 4.8 hours each, roughly 12 minutes a month per person. That's an easy bar to clear if the tool genuinely writes up your calls. It's an impossible bar if you both keep taking notes by hand out of habit.
The seat price isn't the whole bill. Custom Agents are free to try, then $10 per 1,000 monthly Notion credits — a usage meter sitting on top of your per-seat cost. Workers, the code extension, is free to try and starts using credits on October 15 per the page. Two seats on Business plus one 1,000-credit block is $40 + $10 = $50 a month, $600 a year, and nothing on the page we read tells you how many credits an agent run consumes. If you plan to publish notes as a public site, that's separate again: $8/month per domain paid annually, or $10/month per domain paid monthly.
Cost per seat is the vendor's unit. Cost per recorded meeting is yours. Take your monthly bill and divide by the meetings you genuinely record and reread — not the ones in your calendar, the ones you'd miss if the notes vanished. For two people, the monthly bill is $20 on Plus and $40 on Business.

Pick your own threshold, then hold to it. Ours: a written-up meeting is worth paying for at about $2–3 apiece, which puts Business at roughly 15–20 recorded meetings a month for a pair, and Plus at around 7–10. Below that, the honest comparison isn't Plus versus Business — it's paid versus free plus fifteen minutes of your own typing. The other way to sanity-check it: $480 a year across two people is 9.6 hours of a $50 hour, which is about six minutes each per week. If the tool doesn't visibly save six minutes a week, it isn't paying for itself.
If you're two people recording fewer than four meetings a month, stay on Free at $0 and write the notes yourself — a paid seat at four meetings costs you $5 to $10 per meeting, and you'll spend more time picking the tool than you'd save using it.
If you're two people who reread notes weekly but don't need agents chaining tasks, pick Plus at $10 per member/month — $240 a year, $2.50 a meeting at eight a month — because the $240 you'd add for Business buys automation you won't wire up at that size.
If you're five or more, with meetings feeding a shared backlog and someone willing to own the setup, pick Business at $20 per member/month — $1,200 a year — because agents and advanced connections only repay their cost when several people are being spared the same repetitive write-up, and budget a credit block at $10 per 1,000 monthly credits on top.
- Load the pricing page with the toggle on "Pay monthly", screenshot the per-member figure, then flip it to "Pay yearly" and screenshot again — the page shows $10 and $20 alongside a "save up to 20% with yearly" claim without making clear which number belongs to which.
- Confirm in writing which plan includes recording and transcription, and what "30 day retention" versus "zero data retention" applies to — the plan table lists both phrases without saying what is being retained or dropped.
- Ask whether guests count as billed members before you invite a client or contractor into a meeting-notes space; on a two-seat bill, one accidental member is a 50% increase.
- Ask how many credits one meeting write-up or agent run consumes, since that meter is priced at $10 per 1,000 monthly credits after the free trial and is the only line on the bill you can't predict from headcount.
For a genuine two-person team: start on Free at $0, keep a meetings database by hand for eight weeks, and count reopened notes. If that count lands above eight a month, move to Plus at $10 per member/month — $240 a year, and the smallest bill that still buys you a shared paid workspace. We would not put two people on Business at $480 a year for AI features neither of you has time to configure; the extra $240 is the classic per-seat drift. Revisit only when a fourth person joins, because that's when repetitive write-ups start costing more than the agents that replace them.
